What will I do in this role with Judson?

As a Corporate Executive Administrator, supporting the Judson mission will include the following responsibilities:

  • Coordinate and facilitate long-range plans and specific functions/meetings of the Board of Directors and its Executive, Finance, Insurance, Investment, and Building Committees and provide advance distribution of materials to said groups prior to meetings.
  • Completes a broad variety of administrative tasks for the President/CEO including but not limited to: managing calendar, appointments, preparing correspondence, itineraries, agendas and other sometimes confidential and complex items.
  • Assists in coordinating agenda and materials for specific functions and meetings of the Corporate Executive Group and other managers as necessary.
  • Coordinate, attend and record all scheduled Board of Directors and Board Committee meetings and distribute Committee minutes to all Board Members on a timely basis.
  • Facilitate and oversee access and record activity of the administrative vault for resident safe deposit boxes and other security valuable envelopes.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively and follows-through on projects to successful completion.
  • Manage and monitor Judson owned cell phones, pagers and other mobile devices including purchasing, billing and data usage.
  • Coordinate with Information Technology and management to provide and coordinate access to email, software and other programs as needed.
  • Supervise and train receptionist(s) on telephones, computer, mail distribution and daily operations.

What do I need for this role with Judson?

  • Bachelor's degree in Business Administration, or closely related field from an accredited institution, or minimum three (3) years of relevant work experience in fast-paced, office environment supporting Corporate Level executives.
  • Must be proficient with Microsoft Word and Microsoft Excel as well as a functional working knowledge of other Microsoft Office programs.
  • Excellent communication, presentation, organizational, and time management skills with a strong background in successfully delivering exceptional customer service and strong attention to detail.
  • Ability to work in a fast-paced environment with minimal supervision, time management skills to ensure completion of duties and be a forward looking thinker who actively seeks opportunities and proposes solutions.
  • Ability to routinely travel locally and periodically work a non-traditional schedule/outside regular business hours if needed
  • Non-profit experience preferred
  • Notary Public, or willing to become a Notary Public
